Privacy policy

Keeping Table Etiquette (KTE), LLC (“KTE,” “we,” “us”) is a Florida limited liability company. This policy covers kte-app.vercel.app, the KTE mobile app, and related APIs. Until kte.finance is attached, that Vercel host is the public site.

Who is responsible
Keeping Table Etiquette (KTE), LLC is the controller of personal data processed through the Services. Contact privacy@kte.finance (or the owner email on file until that mailbox is live). We have no appointed EU representative or DPO unless we later notify you.
What we collect
Account email and optional display name (via Clerk). Shift and tip records you enter (numbers only — not closeout photos). Workplace membership, join requests, official-store or private-link pointers, and swap posts if you use those features. Complaints and ADR letters you create. Guest compliments a diner leaves on your public rate link (rating, preset tags, optional note). Stripe customer and subscription ids if you pay. Invite emails a company sends. Device, IP, and request logs needed to run and secure the service. Guest submitter IP is hashed for rate-limiting and is not shown on your portfolio.
How we use it
To show you your own records, calculate hours and tip totals, generate letters you download, operate swap and workplace tools, send transactional email (invites, join requests), process $20 payroll / $40 services / attorney-insights subscriptions (monthly or annual), host public guest-compliment scores you choose to collect, and produce anonymous location or brand rollups. Closeout receipt photos stay on your device and are not uploaded to KTE. We do not sell your shift or complaint records. We do not use your content to train third-party foundation models.
Legal bases (EEA/UK)
If GDPR or UK GDPR applies: contract (to provide the account, payroll log, and paid plans); legitimate interests (security, fraud prevention, anonymous aggregates, product reliability); consent (optional marketing, if we ever send it); and legal obligation (tax, accounting, responding to lawful requests). You may withdraw consent without affecting prior lawful processing.
Processors
Clerk (sign-in), Neon/Postgres (database), Stripe (payments), Vercel (hosting), and Resend when configured (transactional email). Payment card numbers stay with Stripe. We require processors to use data only to provide their service to us.
Employer analytics and private links
If you join a workplace as a roster member, a location manager may see aggregated counts. If you keep a private link to an official store, you are not on that roster and are not named to the company, but your shift totals may be included only in anonymous rollups for that official store. We do not show person-level analytics unless at least five workers contribute data in that group (k ≥ 5).
International transfers
Data is hosted in the United States. If we transfer personal data from the EEA or UK, we rely on the European Commission’s Standard Contractual Clauses (and UK addendum where required) plus the processor’s published transfer tools. You may ask privacy@kte.finance for a copy of the relevant clauses.
Your privacy rights
Depending on where you live you may have rights to access, correct, delete, export, restrict, or object to certain processing, and to appeal a denial. California residents may request access, deletion, and correction and have the right not to be discriminated against for exercising CPRA rights. We do not sell personal information or share it for cross-context behavioral advertising. EEA/UK residents may lodge a complaint with their supervisory authority. To exercise rights, email privacy@kte.finance from your account email. We will not charge a fee for a reasonable request.
Mobile
The app does not use background location. It talks to the same KTE API as the website using your Clerk session. Closeout receipt images, if you scan them, are stored only in this browser (web) or in the app's private files on the phone (Expo). Clearing website data deletes web-stored images. Uninstalling the app deletes native-stored images unless the phone backup includes the app's files.
Children
KTE is for adults who work for pay. We do not knowingly collect data from anyone under 18. If you believe a child created an account, contact privacy@kte.finance and we will delete it.
Retention and deletion
You can delete your account in the mobile app (Settings) or on the website (/account). That removes your KTE rows and requests deletion of the Clerk user. Stripe and tax records may remain as required by law. Anonymous aggregates that no longer identify you may remain.
